Even the most seasoned and experienced Event Planner knows that in order to be properly prepared, you must be prepared for anything.  You may be the most organized person and have checked and double checked every aspect of your event a hundred times, with so many moving parts and variables, it is almost a guarantee that SOMETHING will come up which you were not expecting.  From something as small as an unexpected guest to something as extreme and uncontrollable as a natural disaster, there are countless things that can occur that are outside the scope of your event plan.

DO NOT FREAK OUT.  No matter how major the issue at hand, if you panic or hyper focus on the problem, you will quickly lose sight of what is needed and that is simply, a solution.  The power of positive thinking is no small thing and with an event on the line, every planner must keep their composure and just get to work on finding the “fix”.   Here are a few quick tricks to help make sure you have the basics covered:

1.     Read and re-read all contracts!  Know exactly what the options are in the event of inclement weather, “acts of God”, or other extreme situations and have a pre-emptive back up plan in place.  While these “disruptions” may be beyond your control, being familiar with the terms and conditions will certainly help you stay calm as you will be more prepared to begin the next steps rather than figuring out where to start.

2.     Know where you are and how to get around.  Familiarity with the venue is great, but spend time looking at a map and doing some serious Google-ing long before your event begins.  Places like local grocery stores, copy centers, hardware stores, florists and craft shops can be unbelievably helpful when you’re in a bind.  If you already know where they are you can spend time thinking about what you need rather than needing to figure out where to go.

3.     Always have a “Gopher”.  The expense of bringing an additional staff member, friend, volunteer, etc. will hail in comparison to the amount of time, energy and stress they can save you for any little things which may come up.  Since you already know where the nearest Staples is, now you can keep working on getting your event ready while someone else grabs those reprints!

4.     No matter the size or style of your event, things like pens, sharpies, tape, scissors and chargers can be helpful in all kinds of scenarios.  Especially given how inexpensive they are to purchase and easy they are to transport, there is quite literally no reason not to have them on hand.

 

Also remember that while YOU know every detail of the event, your guests only need to see a seamless, polished and fantastic event.  What happens behind the scenes does not necessarily effect the guest experience so make sure you prioritize what needs to be addressed based on the level of impact it will have on the overall event and guest experience.  Just because it wasn’t how you initially envisioned it, doesn’t make it any less incredible for your attendees.   “The show must go on” … and if you really get stuck, the Impulse Team is always here to help!

Many times and in many families, a mother’s love and seemingly endless “to do” list go highly demanded and highly under appreciated.  This Mother’s Day, take time to shower Mom with all the love and adoration you know she deserves (but that she probably will never ask for ).  Not sure what to do for her or what to get her?  No problem, we have put together some ideas for great ways to celebrate Mom this Mother’s Day!

If your child is still too young to participate in Mother’s Day on his or her own, jump right in and find ways to make the day special by appreciating all that Mom does.  Getting up early and giving the lady of the house the chance to sleep in (or to get to that Spin Class she’s been missing) is a great way to start the day.  This is especially helpful if you do as much of the morning routine as possible, showing her that you not only notice “all” that she does, but also value and appreciate the time and energy it takes to accomplish.  Order in her favorite breakfast  and serve it with home made coupons for tasks around the house -  tasks that you and/or your children are willing to jump in and help out with when she needs it .  Let your kids color these themselves or come up with things they think Mommy would like help with.  Have them pick out their favorite picture with or of Mommy and they can decorate the frame!  These are great (and inexpensive) ways to involve your children and personalize the day.

While jewelry, flowers, chocolate and perfume have become more standardized Mother’s Day gifts, remember that Mother’s Day does not have to be quite so “cookie cutter”.  Don’t be afraid to get imaginative with your gift giving. Does she have a favorite store where she would love to have a shopping excursion?  This can be more fun and personal and incorporate an experience.  For the notorious exerciser, a session with a personal trainer or a certificate for “Class Pass” could work in her hobbies and show appreciation for her much needed “me time” as well.  For the mom who cares for and pampers everyone, a spa day can be a great opportunity to ensure that she turns some of that focus and attention on herself as well. 

With the weather finally warming up and the sun coming out more frequently, incorporating family friendly or even date inspired outdoor activities can be appealing… get Mom out of the house for a special day that doesn’t revolve around work, school or extra curricular activity scheduling.  Get a basket and fill it with all the necessities for the perfect picnic – a blanket, cups, lemonade mix, Tupperware containers, etc.  If she has a favorite color, you can use that as the theme for everything going inside for further personalization! Is there an outdoor café she loves?  Make a reservation for your family and your best family friends to enjoy an afternoon.

Every family is different and so too, is every Mom.  Use this Mother’s Day as an opportunity to show her just how special she is to YOU and YOUR family!  With most Moms, it’s the little things that count, so whether you are hosting or attending a large get together or enjoying an intimate day at home, throw in some personal touches to put a smile on her face as she’s reminded just how loved and appreciated she is!

For many people planning an event (particularly for the crafty or artistic) the current “Do It Yourself” trend can seem like a great way to create an event which embodies your “perfect party” while simultaneously avoiding the extra costs associated with hiring an event planner. While Pintrest and Google can help guide your aesthetic aspirations, the reality is that events are more than table-scapes, party favors and décor.  There is a whole machine behind producing a seamless event.

In the beginning, when envisioning your perfect party, it’s easy to get lost in the vision of what the event will actually look like.  Many elements such as floral arrangements, linens, invitations and centerpieces, which may seem like DIY “duhs” can actually become labor intensive, costly and leave you overextended in the arts and crafts realm and unable to focus on other elements of the actual party planning.

Depending on the size and style of your event, there are many moving parts to consider beyond the look and “vibe”.   Things like catering, scheduling, staffing, product tracking, AV requirements, vendor coordination, contract negotiations, signage, guest check in, entertainment, etc, require a great deal of time and attention. For the first time or somewhat over zealous planner, many of these things can come as a surprise and replace the excitement of planning an event with stress and exhaustion. 

Hiring an event planner is not only a great way to ensure you cover all bases and have the necessary help, but an incredible resource given the experience and expertise they should come with.  The ability to predict problems before they arise as well as having a map from start to finish can make having a planner a beyond valuable asset.

By definition, a conference is a meeting of two or more persons in order to talk about ideas or problems related to a particular topic.  Conferences are held on a daily basis, whether it’s a conference in an office between two colleagues, or a conference put on by an organization with attendance reaching into the hundreds.  However, whether small, large, or in between, everyone strives to have the best and most effective conference. 

 

The most important step is to begin by setting forth clear objectives.  These objectives will then help determine the next steps.  For instances, is the objective to introduce a new product to the market, or is it to educate?  There is always too much information and not enough time to digest it, meaning, you must pick the top 10 items that will be covered and stick to them, otherwise the conference can run away from the main objective and not reach its full potential.

 

Recently, the trend in conferences has been to move away from a single speaker and to engage the audience.  It is important to remember that the people attending a conference want to be there.  The audience therefore is a great source of information and is usually eager to participate and embrace the concepts and talking points.  An even better approach is to step down from the podium and walk through the attendees, this allows for a more natural discussion and is extremely engaging.  Another idea is to reward the participation.  The reward doesn’t have to be a new car or anything grand, but can be a branded product (i.e., a pen with the company logo).

 

Another great idea is to add in breakout sessions of varying sizes to allow for a more intimate and less formal approach.  These could be as simple and straight forward as a mid-afternoon snack in another room, or perhaps something more engaging such as a campfire session. The group sits around in circles and engages in a campfire storytelling approach.  The content for the discussion is driven by the attendees, and the facilitator simply drives the discussion.  This keeps the session fun and fast paced since everything is based in real time.  This also allow the attendees to share their own experiences and network in a more natural setting.

Charitable events are a popular form of fundraising.  While they can be great money makers for an organization, they can also be time consuming and expensive.  The success of events depends on careful planning.

Before doing anything else, you must decide what the purpose of your event is. Is this truly a fundraising event? Or does it have other goals? Perhaps your organization may be hoping to raise money at the event, but the main function of the event is to gain publicity, or reach out to a new network. Many charitable events have more than one goal. Figuring out the details for your event will depend on knowing what goals you are trying to achieve.

Every fundraising event plan should contain a complete budget listing all of the expenses that will be required to hold the event. Your budget should include staff, invitations, space rental, catering, entertainment, transportation, security, utilities, and anything else that will be required to make the event a success. Your budget should take into account your fundraising goal, ensuring that you raise that amount above and beyond all expenses. You should be realistic with the budget you set.  The budget should reflect the amount of people you plan to invite, as well as the amount of money you hope to raise.  Be sure to leave a little extra room in your budget for unforeseen costs.

 

Once you market your event, there must be a procedure in place for making the actual ticket sales, or accepting donations for the event. You must decide whether there will be different contribution levels for the event (such as a flat ticket charge, an extra charge to be invited to a V.I.P. reception in addition to the event, etc.). You must decide who will sell the tickets, how they will be shipped or delivered, and who will be responsible for organizing the incoming information.

 

One of the most often heard complaints from contributors is “no one even said thank-you.” The same is often heard from the event volunteers.  Make sure that the organization takes the time to send thank-you notes to everyone who is involved in your event, including contributors, volunteers, staff and vendors. Keep your donors happy… you’re probably going to be asking them for another donation sometime down the road.

Just as there are some events with very tight budgets where every cent counts, so too are there the grandiose events with budgets large enough to support every detail imaginable.  At times this can be an unbelievably exciting thing for the planner or host, but even when the dollars spent are not the primary focus, it is still imperative that you always be conscientious of the actual guest experience and not get carried away by a limitless imagination.

 

It can be easy to get excited by a premiere venue or location for your event when you know it is affordable (especially if it is a venue you have had your eye on for some time).  However, before signing on the dotted line knowing that this will instantly be impressive, make sure the venue is the right size and style for your event.  If the venue is large enough for a party of 600 and you plan to have 300 in attendance, the space will feel vast and may give the impression that your event did not have the proper turn out, no matter how beautiful the back drop!  Focus on finding the space that is still the perfect “fit” for your party and then you can shift your focus to the décor and ambiance required to bring your event to life.

 

If you are confident that you have found the right space (or if venue selection is non-negotiable) do not allow a tremendous budget to take your concept or theme on a journey that surpasses “impressive” and heads straight for “overwhelming”.  When your guests arrive, you want them to have a moment to take in everything you have done and feel immersed in the personality of your event.  Keep in mind that this can be hard to do if as soon as they enter the room there is so much going on that they do not even know where to begin! 

 

When someone enters your party, it should be clear what the “natural progression” of the event is and where to find what they need without becoming completely distracted.  If you are hosting a seated event, table cards should be visible and close to the entrance of the banquet room.  If you are hosting a cocktail reception, the bar should at least be visible relatively quickly as this will likely be one of the first stops.  If you have wait staff with trays, they should also be well versed in the layout of the space and able to answer directional questions, such as “Where is the bathroom?” or “Where can I order a drink?”, so they can aide in ensuring your guests are never confused.

 

Unless you are hosting an all-day event, remember that there is also a finite amount of time in which you have access to your guests.  Instead of trying to jam pack a wide variety of activities and entertainment into a short window of time, select those which are MOST appropriate for the event and attendees.  It can be disheartening when you have put so much effort into finding EVERYTHING imaginable and you hear responses from guests such as “I didn’t even see that!” or “I didn’t have time to make my way over there”.  The more you tailor you really hone in on the desired outcome of the event, the more you will be able to ensure that each element of the event is truly thought out and will lead to the highest, most impressive impact, not just the highest expense.

 

Remember, just because you have the dollars, doesn’t mean you HAVE to spend them!

Planning a large scale corporate event is not for the faint of heart. Everyone always wants the same thing – the best possible event – an event that people walk away from and actually remember.  Not just remember, but talk about after, and then look forward to next year’s event.  It is safe to assume that you have visions of greatness dancing through your head.  

A corporate event often serves  different purposes – inspiration, education, entertainment. However a number of things are necessary in order to achieve a successful event internally while knocking the attendees’ socks off.  

 

The very first thing sounds very dull and dreary, however, in order to ensure an incredible event, you must make lists.  From potential guest lists, to deadlines, to requested passed hors d’oeuvres, organization is your saving grace, and your best friend is a list.  Whether kept online or written in a notebook, keeping lists is imperative.  

 

The second most important part is  setting a budget.  Not just any budget, but a realistic budget.  There’s no shame in wanting to maximize your budget, and wanting the event to seem as if it cost a million dollars, even if that is far from your actual budget.  In fact, everyone should strive for that.  Create a list of all of the anticipated expenses (entertainment, décor, venue, food beverage, etc.), then start obtaining quotes for each. Some vendors might give you very high quotes while others give low.  Once you have a range, prioritize the items and aspects of the event where you are willing to spend more money.  Once the budget and allocation are determined, do not veer!  

 

Lastly, do not get bogged down by the minutiae.  Ultimately, you are planning an event that you want people to enjoy and remember.  Not only should the company / corporation be happy with the décor, venue, catering, etc. but the attendees should be as well. The happier the attendees are the happier the company.

Being a full service event planning firm, we know that there are many “moving parts” and lots of things to consider when you start the planning process.  We also know that there are times when an event’s budget may not be big enough to bring in event planning professionals, but we are still here to help!  Aside from our free event consultations, we have also come up with a few tips and tricks to get you started.

 

Prioritize.  Figure out what the most important components of your event are and start there.  Every event is different and so too are the necessities required in order to bring your vision to life, no matter how large or small.  For some events, the venue may be at the top of the list, for others it may be the catering, the décor, the theme, the entertainment or even the overall guest experience.  Make sure that you give yourself enough time (and enough of the budget) to give these things the respect and care they deserve.

 

Pay attention to first impressions.  If you are working with a venue or vendors, be very mindful of how quickly they respond to you, how willing they are to meet your needs and how eager they seem to “win” your business.  You are the client and ultimately, you should feel that these people, places or companies really want YOU.  These initial interactions tend to be good indicators of what the relationship will be like moving forward.  If you feel a bit uneasy or like things are taking too long, remember, this is probably not the ONLY person or place where you can get what you need and you have the right to choose to work with someone who makes you feel comfortable and accommodated, even on a tight budget!

 

Don’t be afraid to ask questions.  Whether this is your first time planning an event or something you have done hundreds of times, you can always be faced with unchartered territory, so when in doubt, ask!  Event planning can be stressful!  The more you know, the more comfortable you will feel and the less likely you make it for unpleasant “surprises” later on.  Google is an incredible resource, feel free to check and double check.  Also keep in mind that any time you are working with a ”professional” or someone who provides a service, they should be willing and prepared to answer all of your questions, no matter how many you may have or how “silly” they may seem.

When planning an event, one of the first tasks to check off is finding the ideal venue for your special occasion.  There are various styles of spaces to consider, from event-spaces and lofts, to restaurants, conference rooms, hotels, rooftops and lounges.

 

There are a few major elements to consider when selecting the proper venue for your event. 

 

Event-Type/Style - what is the style of event you are hosting? Is this a corporate function, product launch, social gathering, or fundraiser? Each event-type lends itself to a different ideal atmosphere. Corporate functions are generally held in more upscale and professional venues such as hotels, premium event-spaces, or fine-dining restaurants where social engagements tend to work well in lounges, casual restaurants, lofts, bars and rooftops.  The event-type dictates the setting, so be sure to think about the reason for hosting this event before selecting your venue.

 

Who are your attendees? Your guest list, age group, and types of guests will help determine where you should plan your upcoming party.  If you are hosting a holiday event for your tech start-up firm with the average guest being 22-35 years old, a beer garden or hip bar may work well for your needs.  However, if you are hosting an annual gala and raising awareness for an influential charitable organization with the likes of celebrities, politicians, and businessmen, a high-end event space, hotel, or museum will likely best suit your needs.  Think about your guests and what they will relate to better before selecting a venue based on your own personal preferences.

 

Budget – Your budget is always a major consideration when determining where to host your upcoming event.  Generally, a raw event-space will cost more than a venue with built-in furniture, kitchen, bar, and Audio/Visual, as you will have to bring everything in to create your desired atmosphere. High-end venues generally will be more expensive than casual places, as they have higher costs to operate.  Popular, trendy venues generally will cost more money than lesser-known spaces, as they’re in high-demand with clients willing to spend premium dollars to host their events there. Weekend nights are always more expensive than weekdays and early week will be more affordable than later in the week.

 

Weather / Time of Year – Always keep the weather in mind when planning your next event.  It goes without saying that an outdoor venue on a beautiful spring or summer day creates an atmosphere that is magical and enchanting. However, there is nothing worse than hosting an event during inclement weather or having to change the date or venue last-minute due to unforeseen winds or rain.  For outdoor events, always consider spending the extra money on tenting or finding a venue with either a retractable roof or indoor space if the weather suddenly makes a turn for the worse.  Sometimes playing it safe whether it be only hosting indoor events or paying the premium for tenting and such gives you the peace of mind necessary to focus on your guests and creating a memorable experience for them to enjoy.

 

Spend a lot of time and do your research when selecting your event location. Do not overlook this detail and definitely do not rush it. A compromised or less-than-desirable venue can ruin your special event. It may be the single most important element to hosting your dream event, so give it the time and respect it deserves.

Finding the right event planner is no easy task.  There are many items to consider, from services offered, to confidence in their ability to execute, pricing, their quickness to respond, and the overall feeling you get from this company and/or individual.

 

Planning events can be quite stressful and time consuming.  You want to ensure you are hiring someone you feel compatible with and won’t mind speaking to multiple times a day.  There are hundreds of moving parts to consider and the quality of your event is all in the details.  You want to get along and share some common interests with your planner, as it will make the entire process more fluent and will likely yield a better production in the end.

 

When combing through the various companies online, you want to ensure the services you need match the services they offer. Many times a client is looking for full-service planning and production needs, but hires a planner with specific skill-sets, rather than an ability to plan the entire event. Be clear with your planner on what you are looking for and what you are hoping to get out of the relationship. 

 

Full-service planners are very different than specialized, niche planners that only focus on specific aspects of an event. A full-service planner will handle all aspects of the event-planning process from concept development to venue selection, contract negotiations, menu design, staffing solutions, guest check-in/registration, invitations, gift-bags, entertainment, audio/visual, and final execution of the production. If your needs seem to be larger and you don’t have the time or bandwidth to handle yourself, always side on being conservative and hire a professional that can guide you and take over the entire process. There is nothing worse than overextending yourself, falling short in the end, and having your guests or boss unhappy with the end-result.  On the other hand, if you want something super specific and more boutique, while working with a limited budget, your best bet may be to go directly to a venue or catering company or to find a specialized planner that only focuses on exactly what you are looking for.

 

The last factor to consider is your overall budget and how the planner prices their services. There are various ways planners approach this, from a flat fee, to a percentage of the overall budget, to an ongoing retainer for consecutive event-activation.  A general rule of thumb we use for full-service planning is that the services should not amount to more than 15% of the overall event budget.  As with anything, this is generalization and may not apply depending on the scope of services, time frame you’re working with, customization needed, special requests, and other criteria needed for the planner to properly price out their services.  Your needs will determine the type of fee-structure that is best for you, meaning, if you have 20 events to produce over a 12-month period, a monthly retainer relationship may be more beneficial than an event-by-event basis, as you will save considerable dollars and have access to more of their resources and services.

 

If you find the right planner, their fee should not be a concern, as they should be able to leverage their relationships with vendors and venues to provide cost-savings to their clients. If you hire the right event planner, you will save yourself a considerable amount of time and energy, you will be less stressed, your budget should be optimized where you’re able to receive more goods and services for the same amount of money, and the event should go off without a hitch with all of your guests thanking you and complimenting you on a job well done.

                Goyte fans will no doubt remember the uniquely artistic music video for “Somebody That I Used to Know” when the singers’ bodies were painted to match the background sets on the shoot. Artist Emma Hack, who did the body-work for the video, is now putting on a solo exhibition at the Rebecca Hossack Gallery in Nolita. The 2014 Winter Olympics Have Begun

So…..believe it or not the 2014 Winter Olympics have officially begun in Sochi, Russia! With the Super Bowl in New York/New Jersey this past weekend it was easy to lose track of the Olympics, but now it’s time to turn our attention to this worldwide athletic competition and root on thousands of competitors in 15 different sports. While some of the events may not be familiar to the average viewer they all bring something different to the table.

These are the events we are most looking forward to:

Curling (begins on the 10th with medals being awarded the 20th and 21st)

Is this just a glorified winter version of shuffleboard? Sure, but who cares?! Men’s and Women’s teams from 10+ countries will be squaring off against each other to see who can glide a granite stone down an ice runway the most accurately. Sounds like pure entertainment.

If you are looking to have a few drinks and get overly excited about a sport you have limited knowledge of, this is the one for you!  Meet your friends at a sports bar, toss around some curling lingo you picked up from the broadcast, and cheer loudly when your team scores (even if you aren’t sure what just happened).

Figure Skating (begins on the 6th with medals awarded on the 9th, 12th, 14th, 17th, and 20th)

It’s the gymnastics of the Winter Olympics. Heavily muscled and coordinated men and women display some of the most graceful movements you will ever see, all while wearing razor blades strapped to their feet. As this sport involves judging feel free to score from home and argue about who landed the cleanest Triple Lutz or maintained the tightest I-Spin. There are multiple categories for individuals and mixed pairs so it’s a sport you can grasp more and more as the competition progresses.

Luge (begins on the 8th with medals awarded on the 9th, 11th, 12th, and 13th)

Skeleton (begins on the 13th with medals awarded on the 14th and 15th)

Sure the Bobsled gives us more “Cool Runnings” references, but cannot match the Luge and Skeleton for pure adrenaline, speed, and terror. Without an enclosed sled competitors race at speeds of 85-90mph down frozen tracks with hairpin turns. Luge is performed feet-first, which seems harrowing enough, but Skeleton is head-first! These athletes truly have no fear.

Biathlon (begins on the 8th with medals awarded almost every day until the close of the Olympics)

With 11 medals being awarded over a variety of distances and racing styles this event will have plenty of variation to keep you interested. But let’s be honest…its skiing and shooting, enough said.

There are plenty of other exciting events as well. Men’s Ice Hockey has a very competitive field this year; Speed Skating is always packed with fast-paced excitement; and Shaun White always puts on a great show in the snowboarding events. Enjoy the Games!

Being the most watched program in America, it brings families and friends together along with great food and drinks. So no excuses not to party!

Check out the free, kid-friendly event, Super Bowl Boulevard, along Broadway from 34th to 47th Streets taking place January 29th to February 1st and open from 12pm-10pm.  You will be able to take pictures with the Vince Lombardi Trophy, get player autographs, listen to live music and slide down an immense 60-foot-toboggan, all in the heart of Times Square!

For the passionate foodies out there, a range of lounges, bars and restaurants have special Super Bowl events going on as well:

The 50 Yard Lounge (One Penn Plaza, 250 W 34th Street. 800-591-9198, Jan 29-Feb 2) - With heated roof decks, tented plazas and restaurants and featuring cooking demos with stars of the kitchen and the field, such as Chef Marc Forgione and Chris Carter.  You can pre-purchase tickets which include all your food & beverage.

On Saturday, February 1st, you can eat for a good cause at “Taste of the NFL” (Brooklyn Cruise Terminal, Pier 12, 72 Bowne St, Red Hook, 952-835-7621) as Chefs from every NFL city whip up local favorites with current and former team members, like Donny Anderson.  A percentage of proceeds go to food banks in each NFL city.

The NFL’s first Super Bowl themed pop-up steak house, Forty Ate, is filled with football artifacts, such as a collection of 47 Super Bowl rings on display as well as chances to meet and greet with players.  This is located at the Renaissance New York Times Square Hotel from January 27th to February 2nd.  You can make a reservation by calling (212)450-2014.
